Who is responsible for what?

The Brothers are responsible for the following tasks:

-Securing a venue

-Booking a DJ/Band

-Booking live entertainment (if applicable)

-Securing catering services (food and beverage)

-Planning any other food stations/booths, such as a dessert bar or ice cream station, if applicable.

The Event Coordinators will be in charge of the following tasks:

-Booking hotel rooms for all out of town guests. It is your responsibility to make sure that your entire fraternity formal does not exceed the number of available rooms at the hotel. The Event Coordinators will assist with booking on behalf of each individual chapter according to their needs. Please note that this service is not free.

How do you choose a date and location?

Before you can plan anything, you need to decide on a date. Once you have that set, then it is time to start looking at location options and formal weekend destinations.

You might want to visit the destination before booking a hotel. Hotels usually have great packages for groups going on a formal weekend. If not, they might be able to recommend other hotels in the area that could accommodate your group size and budget needs.

Different destinations offer different things so finding the one with what your fraternity wants will make planning go much more smoothly. There are many factors that go into this decision such as location, climate, price, transportation options and night life opportunities just to name a few!

How do you promote the event?

The first step for promoting your fraternity formal is to get in contact with the venue you are interested in reserving. It is important that you talk with them about what kind of event they host, how many people they can hold, and any other questions you may have. Once you have the answers to these questions, it will be much easier for you to plan out how many people are invited and where your food will come from. For example, if the venue only has space for a hundred people but you want 150 guests then it would be best for one of your plans to be getting a second location or hiring more servers so that there are enough people on hand who can take care of all of your guests.
